Student Information System

Overview

The Student Information System (SIS) is UCSF's central platform for storing and managing student data. The SIS maintains demographic details, academic records, grades, course enrollment, and other key information. SIS streamlines administrative tasks for campus staff and acts as a comprehensive digital record for each student throughout the student's academic journey.

UCSF primarily utilizes two portals to administratively manage student records: one for program administrators (Staff Portal) to track student progression and report on student data, and another for faculty (Faculty Portal) to view course rosters and report final grades.

Other portals that exist include the:

  • Student Portal, which students use to view and pay fees, enroll in courses, maintain their contact information, and order transcripts.
  • Applicant Portal, which Office of the Registrar and some admissions staff use to collect data on all applicants and create records for future students.

Access

Staff Portal

In accordance with FERPA guidelines, access to the Staff Portal is granted to those who have a legitimate educational interest to access student records. Eligible users include, but are not limited to, academic advisors, academic program administrators tasked with student oversight, and financial aid and bursar staff. If you have questions regarding access privileges, please contact us.

To request access:

  1. Complete the Family Educational Rights and Privacy Act (FERPA) eCourse . The course must be completed before access to the student information system can be provisioned.
  2. Complete the SIS Access Request Form.

Login

Faculty Portal

Access to the Faculty Portal is automatically provisioned to faculty based on course teaching assignments. Faculty of record, officially listed co-instructors (check the Senate Course Review System), and grading delegates will see enrollment and grading rosters for their courses. Ad hoc access cannot be provided for the Faculty Portal.
