PDF Transcript Guide

This is an internal document for Office of the Registrar personnel assisting students with the electronic transcript ordering process.

Upon logging in to the Student Portal, the requester will first navigate to the transcript ordering page:

The transcript ordering page provides the following choices:

Note that below the fulfillment choices is an information box that provides the student with basic information on fulfillment time (up to 30 minutes), certification, and pickup options.

After selecting “Official PDF Transcript,” if the requester has a degree or certificate conferral pending, the next screen asks if the order should be held until posting occurs:

3. Order Fulfilled: Pickup options

After being alerted that the PDF is available, the requester will see the order in “Order history,” referenced by the order number. Clicking the order number link takes the requester to a download page; the requester can download the PDF for direct distribution, use the default pickup code, or create new pickup codes to allow enhanced tracking:

If the requester elects to distribute the PDF directly, he or she would download the PDF by clicking on the displayed icon and then convey the file to recipients via any preferred method.

If the requester wishes to direct the recipient to the UCSF pickup site (https://registrar.ucsf.edu/transcript-pickup) he or she merely needs to provide to the recipient the URL, the order number, and the access code. With this method only the first pickup gets logged, though the PDF can be downloaded by an unlimited number of recipients.
